What is a digital employee, and how is it different from an AI assistant?
An AI assistant answers one question at a time. A digital employee has a defined job, knowledge, tools, and permission scope. It remembers your team's context, takes over a whole piece of work, and hands it back to a person when it is unsure.

ChatGPT is great at one-off tasks. A digital employee remembers your team's work, keeps it moving, works with your teammates, and backs every important item with evidence. You can also connect ChatGPT or Claude through a connector (MCP) so they act as another worker in your workspace. When moving content between tools, check its permitted use, version, and sharing scope.
What happens when an AI employee gets it wrong? Who is responsible?
It stops and asks you when it is unsure, attaches evidence to what it says, and waits for your confirmation before high-risk actions such as external publication. When something is wrong, you can trace the step that failed through sources and task records and route the fix to the right person. Automatically flagging every affected piece of work is still being built. AI lays the problem out; people make the decision.
Can it prepare my grant report?
Start with the evidence. List what the program requires, collect it from teammates, follow up on gaps, and check outcome numbers against attendance lists, photos, and surveys, so every number you submit links back to its evidence. The owner confirms the final report. You can do this today with projects, events, surveys, and task evidence.
Do you train on my data?
Your data is used only within your workspace. Cross-customer model improvements use only authorized data, with private content removed.
Is recording work the same as surveillance?
It records the work, not the person: requirements, material, decisions, and deliverables. Opening a link does not move private conversations into team records.
Does an AI summary count as a confirmed outcome?
No. AI helps retrieve, organize, and draft; people still check figures, sources, periods, and publication scope. Existing task submission and review do not imply automatic tracking of every outcome claim, cross-output version locking, or external assurance.
Evaluate one real workflow
For an event closeout, select an attendance record, a survey, and an interview. Assign an owner, request a source-based draft, and have the team resolve missing evidence or inconsistent figures before review.
Assess more than prose quality: can a colleague find the originals, understand the deliverable requirements, and reuse confirmed knowledge for the next event? These are practical measures of ongoing collaboration effort.

When an existing AI is sufficient
Personal rewriting, brainstorming, and general questions may already be served well. For multi-person work, continuing collection, and delivery, you need a digital employee that remembers team context and backs its work with evidence, so evaluate context and data management as well as an individual response.
Avoid replacing everything first
Test one cross-person workflow while retaining effective tools. For external AI connections, verify availability, authorization, and revocation; a guide page does not establish a live connection service.
